YOUR DAY, STEP BY STEP
What to Expect on Flight Day
Most of our guests are first-time flyers. Here's exactly how your visit will unfold so you arrive feeling prepared, not nervous.
Before You Arrive
• We'll send a confirmation email with your booking time
• For special occasion flights, our team will be in touch the day before to confirm timing and any extras (champagne, proposals, photographers)
• Check the weather forecast the night before — if conditions look marginal, we'll reach out
When You Arrive (Aim for 10 Minutes Early)
• Drive into Caloundra Aerodrome at 20 Pathfinder Drive
• Park in our free on-site spaces
• Meet your pilot at our base — usually you'll spot the helicopter on the apron
Safety Briefing (Takes About 10 Minutes)
• Your pilot walks you through how to safely approach and board the helicopter
• We'll fit your Bose noise-cancelling headset and demonstrate how to use the intercom to chat with the pilot mid-flight
• Quick rundown of seatbelt operation and emergency procedures
• This is your chance to ask any last questions — please do
Boarding
• Your pilot will guide you to the helicopter while the rotors are turning
• Always approach from the front — never the rear — and keep low
• The pilot helps you in, secures your harness, and confirms your headset is working
The Flight
• Lift-off is smoother than you'd expect — no runway, no rumble, just a gentle rise
• Your pilot gives live commentary throughout, pointing out landmarks and the best photo moments
• Every seat is a window seat with full panoramic visibility
• Talk to your pilot and your group through the intercom whenever you like
Landing & After
• We'll guide you out of the helicopter the same way you came in
• Photo opportunities with the helicopter on the apron are encouraged
• Champagne, gift vouchers, or other extras (if part of your package) are sorted on landing
• We love a Google review if your flight made your day — link sent with your confirmation email
WHAT TO BRING
Recommended
• Sunglasses — the light at altitude can be bright
• Camera or phone — fully charged, plenty of storage; consider a wrist strap to keep both hands free
• Comfortable casual clothing — closed-toe shoes are recommended
• Light jumper — for cooler months, especially morning flights
• Sense of adventure — non-negotiable
Not Permitted
• Smoking materials — no smoking on or around the aircraft
• Aerosols, paint, matches, gas stoves — classified as dangerous goods
• Firearms or ammunition — not permitted onboard
• Large bags — cabin space is limited; please leave luggage in your car
If you're unsure about an item, declare it to your pilot before boarding and we'll work it out.
PASSENGER INFORMATION
Weight & Balance Requirements
Helicopters, like all aircraft, are weight-and-balance sensitive. We need accurate individual passenger weights at booking to plan fuel loads and seat assignments safely.
• Standard adult weights are calculated at 90kg for males and 70kg for females
• Maximum single passenger weight on our Robinson R44 is 130kg
• Maximum combined passenger weight is typically 260–270kg depending on tour
• If anyone in your group is heavier than the standards, please advise at booking — we may need to limit total passengers or assign you to our larger Robinson R66
Honesty here helps us — under-reporting weights can affect fuel planning and safety. We're not judging anyone, we're just doing the maths.
Age Guidelines
• No minimum age — even toddlers can fly
• Children 12 and under must be accompanied by an adult
• Infants under 3 years may fly free seated on a parent's lap (depends on flight requirements)
• No upper age limit — our oldest passenger to date was 92
Health Considerations
Motion Sickness
Helicopters fly smoothly — there's no bumpy take-off run, and we don't bank steeply on most scenic routes. Most motion-prone passengers fly comfortably. If you're particularly sensitive:
• Take Travacalm or Kwells about 30 minutes before your flight
• Eat lightly before flying — empty stomach is worse than a small meal
• Look at the horizon, not down — focusing on close objects can trigger nausea
• Ginger lollies are available on request
Fear of Flying / Nervous Flyers
You are not alone. Many of our happiest first-time guests started the day nervous.
• The cabin is much quieter than you expect — Bose noise-cancelling headsets remove most of the engine noise
• Tell us at check-in if you're anxious and we'll talk you through it
• Our pilots fly smoothly and steadily — no aerobatic banking, no sudden manoeuvres
• The flight is short enough to feel manageable — most of our guests are surprised by how relaxing it actually is
Pregnancy
Pregnant passengers are generally fine to fly through the second trimester, but please:
• Mention pregnancy at booking
• Bring a medical clearance from your GP if past 28 weeks
• Avoid morning sickness windows — book afternoon flights if mornings are rough
Mobility, Hearing, or Vision Needs
Tell us at booking and we'll make sure your flight is comfortable:
• We can assist with boarding for guests with limited mobility
• Visual cues during the safety briefing can supplement verbal instructions for guests with hearing impairments
• Registered assistance animals welcome — pets not permitted on the aircraft
OUR HELICOPTERS & SAFETY
Our Fleet
We operate Robinson R44 Raven II — both fitted out in corporate configuration with leather seats, panoramic windows, and Bose noise-cancelling headsets.
- Robinson R44 — pilot + 3 passengers
All aircraft are owned and maintained in-house to the highest CASA (Civil Aviation Safety Authority) standards. We don't lease or share our fleet — what you fly is ours, serviced by our local team.
Pilots
All Oceanview Helicopters pilots are CASA certified with thousands of hours of experience. We don't fly contract pilots or trainees on guest flights.
### Around the Helicopter
Safety around helicopters matters most when the blades are turning.
Three rules:
1. Always follow your pilot's directions — they'll guide you in and out
2. Approach from the front, never the rear — the tail rotor is invisible at speed
3. Keep low and stay in the pilot's eyeline — never duck under the rotors without being escorted
WEATHER POLICY
What Happens If the Weather Doesn't Co-operate
Helicopters and bad weather don't mix. We'll only fly when conditions are safe and deliver the views you booked for.
How We Decide
- Decisions are typically made the morning of your flight based on current and forecast conditions
- Wind, visibility, cloud base, and storm activity all factor in
- Our pilots have final say — safety is non-negotiable
What Happens If We Cancel
- We'll contact you as early as possible — usually by phone for same-day cancellations
- Your booking is rescheduled at no cost
- Your booking holds its full value — we don't charge re-scheduling fees, ever
- If you're a visitor with limited travel dates, we'll work hard to find an alternative slot
What If I Cancel for Personal Reasons?
- Cancellations more than 48 hours before flight: full refund or rescheduling
- Cancellations within 48 hours: rescheduling possible, but refunds vary by tour. See our [Refund Policy](https://oceanviewheli.com.au/refund_returns) for details.
- No-shows or late cancellations forfeit the booking
LOGISTICAL EXTRAS
Fuel Stops on Longer Flights
For longer charters and exclusive packages, we may make a fuel stop en route. This generally adds about 20 minutes to your day and gives you a chance to stretch your legs. If your helicopter is heavily loaded, more fuel stops may be required than if a lighter load were carried — we'll let you know in advance.
Aerial Photography
If you're booking aerial photography (separate to scenic flights), best conditions are clear skies or overcast — direct shadows can cause issues. Wind under 20 knots is ideal. Talk to us about specialised aerial photography sessions.
rs and bad weather don't mix. We'll only fly when conditions are safe and deliver the views you booked for.

- Redeemable on any tour where availability matches
- Transferable — if the recipient can't fly, they can pass it to someone else
- Custom-designed gift cards available — add a personal message and choose your design
Booking Changes & Rescheduling
- Changes made more than 48 hours before your flight: free of charge
- Changes within 48 hours: subject to availability, may incur a fee for some tours
